Do you have a knack for organization, numbers, and keeping projects running smoothly? We’re looking for a Project Finance Coordinator to join our team and play a key role in setting up and managing financial accounts for new projects.

You’ll handle everything from preparing agreements and processing funds to maintaining accurate records and coordinating with internal teams. If you enjoy a role that blends finance, administration, and teamwork — and you take pride in precision — this could be the perfect fit.

Schedule:

  • Full-time, in-office position (no remote work)
  • Monday–Friday, 8:30 a.m.–5:00 p.m.
  • Candidates should live within a reasonable commute of the Austin, TX area

What You’ll Do

  • Coordinate new project account setups and prepare required documentation
  • Keep financial records organized through detailed digital and physical file management
  • Communicate with internal teams to ensure agreements and materials are completed accurately and on time
  • Prepare and submit new bank account applications for upcoming projects
  • Draft and send acknowledgments and processing letters to clients and partners
  • Set up clients and projects in the company’s accounting and payment systems
  • Manage the deposit process — track incoming funds, record receipts, and send confirmations
  • Generate and review daily and weekly deposit reports
  • Support project closeouts, including document organization for archival storage
  • Assist finance and project teams with day-to-day administrative tasks and correspondence

What You Bring

  • High school diploma or equivalent required
  • Funds disbursement experience is a big plus!
  • Previous office experience is required; writing formal emails, answering phones, working collaboratively within a team
  • Must be comfortable and confident speaking with clients on the phone
  • Experience in bookkeeping, project accounting, or construction administration is a plus
  • Knowledge of Construction Contracts is highly preferred
  • Familiarity with accounting principles and construction terminology preferred
  • Strong attention to detail and organizational skills — you like things done right the first time
  • Proficiency with Microsoft Excel, Word, and Outlook
  • Experience with accounting software (ComputerEase, QuickBooks, and/or other construction accounting software knowledge is a bonus)
  • A proactive, professional attitude with the ability to solve problems and communicate effectively
